Send the shot list and the date. You get an answer about the wall, not a rate card.
One form for every booking: a photo shoot, a film day when you need to rent a climbing gym for a commercial shoot, an athlete portrait session or an event on the floor. Climbing wall location rental in NYC comes through this desk and nowhere else. Be specific here and there are fewer emails before the recce.
The inquiry that gets answered in two emails, not six.
Most first emails say "we'd love to shoot at your gym, what are your rates?" That starts a thread of six messages. This list ends it in two.
- The date, or a window. Two weeks of possible days lets us work around the setting schedule and member traffic.
- The shot list or reference frames. Five frames tell us which wall you need faster than a paragraph does.
- Crew size, and who is climbing. A pro climber, a model who has never touched a hold, a group of forty guests. Each changes the plan.
- Lighting list and power draw for film. Power is one of the two numbers a film day is quoted on.
- Anything unusual. Drone, slow motion, rigging from the trusses, a specific hold colour, children on set. Say it now, not on the day.

- Step 01The desk reads it
A person on the bookings desk checks your date against setting and events, and looks at which walls fit the frames you sent.
- Step 02Questions first
You get a reply with what the wall can do, what it cannot, and the questions still open. Sometimes that is where we say no, with the reason.
- Step 03Recce or call
About an hour on the floor with the shot list, or a call with phone stills from your angles. See the recce notes.
- Step 04Quote in writing
The price for your booking, built on the basis that fits it. Nothing is binding before this, and the date is held only once it is confirmed in writing under the booking terms.
